PF claim rejected: name mismatch (UAN vs Aadhaar): step-by-step
Rule source: EPFO Circular No. WSU/2024/1/SOP_JD/2009 dated 16 January 2025 & SOP Circular No. WSU/2022/1/SOP_Joint_Declaration/31037. Checked on 11 October 2026.
Why Name Mismatch Causes PF Claim Rejection
When you submit an online PF withdrawal claim (Form 19, Form 31, or Form 10C), the EPFO automated engine compares your profile name in the EPFO database against the name returned by UIDAI for your Aadhaar card.
Even a minor discrepancy—such as a missing initial, spelling difference, or space mismatch—causes instant automated claim rejection.
How to Fix Minor Name Mismatch Online
If the name difference is minor (spelling or initial differences up to 2 characters):
- Log in to the EPFO Member Unified Portal: Access
https://unifiedportal-mem.epfindia.gov.in/memberinterface/. - Navigate to Manage > Modify Basic Details: Enter your UAN and password.
- Enter Correct Name: Type your name exactly as printed on your Aadhaar card.
- Submit Request: Click Update. Your request is sent to your employer for approval.
- Employer Approval: Your employer approves the request using their Digital Signature Certificate (DSC) on the employer portal.
Major Name Change & Joint Declaration Rules (16 January 2025 Circular)
Under EPFO Circular No. WSU/2024/1/SOP_JD/2009 dated 16 January 2025:
- If you changed your name legally, post-marriage, or if the name difference is major, 3 supporting identity documents are required.
- You must submit a physical or online Joint Declaration Form (Annexure-I) signed by you and your employer.
- Attach self-attested copies of Aadhaar, PAN, and Gazette Notification or Marriage Certificate as specified in the official EPFO Joint Declaration SOP.
